JOB TITLE : Administrative Assistant/ Travel

DUTY STATION : Rabat

SALARY LEVEL : Salary starting from 120,224 MAD gross/ 109,448 MAD net, includes, CIMR, CNSS, Health Insurance, Disability Insurance, Work Accident and Life Insurance. Moroccan taxes are the responsibility of the employee

The United States Peace Corps is seeking a Travel Assistant. Under the supervision of the Administrative Officer, and reports to Financial Assistant, the Travel Assistant carries out all duties related to official in-country or International travel for Staff, Trainees and Volunteers. All travel assistant duties are performed in strict compliance of Peace Corps policies and procedures.

DUTIES and RESPONSIBILITIES :

Responsibilities include, but are not limited to the following :

- Prepares all Travel Authorizations (TA) and vouchers for official staff/PCV/PCT travel.

- Monitors and organizes travel schedules, prepares Master Travel Schedule

- Coordinate travel components and communicate with all parties

- Train staff and volunteers on proper procedures and policies regarding travel

- Keeps appropriate logs and files needed to satisfy PC requirements.

- Coordinates PCV/PCT travel for ETs, Medical Evacuations, Emergency Leaves, and Close of Service : flights, drivers, and any tasks associated with emergencies.

- Ensures all travel policies and procedures are followed

- Assist with transactional accounting

- Monitors and provides analysis to travel expenditures and recommends efficiencies

- Assists in conducting surveys for Volunteers Travel allowances, Staff Per Diem and Market Basket

- Schedules Drivers including comp and vacation time and dispatches all trips

- Performs administrative and clerical tasks assigned by the General Services Area such as inventory speed sheets, contract files, assisting in obtaining quotes

- Coordinates with financial management personnel in PC/W in order to correct mistakes, make clarifications, research answers to specific problems, and ensure vendor payment.

- May negotiate (without commitment) with travel service vendors for the needs of the program.
- Contacts with various Embassies re : visas.

MINIMUM QUALIFICATIONS REQUIRED AND PROVEN EXPERIENCE IN THE FOLLOWING :

- A University degree is required.
- Travel agency experience is a plus.
- Fluency in English is required.
- General office skills to include : data research, analyses, and interpretation, computer skills including knowledge of word-processing, spreadsheet, e-mail, and database programs, basic accounting, filing, organization and time management skills.

DESIRED QUALIFICATIONS :

- Driver’s License
